Answers on the LedgerWebStudio offer: what is included, revisions, articles, the AI Engine, hosting, domains, moving your current site and billing.
The offer
How long until my site is live?
7 days on Intake, 10 on Reconciliation while the AI agents are trained, and 15 on Filed with the content engine running. The clock starts at the onboarding call, not at purchase, so the sooner the form is in, the sooner you are live.
What is included in each plan?
Intake, at $137 a month, is a fully managed, fast website built around your services, service areas and intake form, with domain and hosting included. Reconciliation, at $297 a month plus AI usage, adds the AI Engine: automated answering, call booking and text-back. Filed, at $747 a month, adds the Content Engine on top of that: more articles, social image posts, reels and a managed Google Business Profile. Every plan carries the same $797 one-time build fee, invoiced only after launch.
Can the site have a page for every client industry we serve?
Yes. If your firm serves multiple client industries, such as restaurants, ecommerce sellers, medical practices or nonprofits, each can get its own page describing how your services apply to that industry. The first set is scoped during onboarding based on what you tell us; adding more later, or updating one as your client base changes, is handled as a normal revision with no extra tier required.
Getting started
What happens straight after I buy?
You fill in the onboarding form and submit it. It asks for your services, the areas you serve, your brand, your domain and where enquiries should land, and it takes about 15 minutes. If something is missing, submit anyway: you can send the rest by email or raise it as a ticket in your client portal, and it will not hold up the build. We then run one onboarding call to fill any gaps and agree the launch date.
What is the client portal?
It is your account with us, and you get it the day your site goes live. From the portal you request revisions, raise a support ticket for anything that needs attention, send us files you still owe us, and message our team directly. Everything to do with your site runs through it, so nothing gets lost in an inbox. You never log in to the website itself; we handle that side.
Revisions and the client portal
What counts as a revision, and what happens after five?
A revision is any change request you send, and there is no limit on how much goes into one. New page, new service, updated prices, a different photo, a colour change: each is one revision. So is something much larger. "Build two new service pages, here is the copy and the images for both" is one revision, not four. 5 are included every month. After the fifth, each additional revision is a flat $20, with no cap on how many you can buy and no hourly billing anywhere. Every revision is completed within 2 to 5 working days of you sending it, whatever the size.
How do I actually request a change?
Raise it in your client portal. You describe the change, attach anything we need, and it lands with the team as a tracked request so you can see where it is. You can also email us or reply to any thread with our team, and we log it for you. Unused revisions do not roll over to the next month.
Can a revision add a new client industry page or update our engagement scope?
Yes. Adding a client industry page, such as a page for restaurant bookkeeping or ecommerce reconciliation, is one revision, and so is rewriting how you describe your engagement scope on an existing page. Send the copy and any images you want used and we build it within 2 to 5 working days. It counts toward your 5 included revisions the same as any other change.
Articles
What are the articles about?
They are about your website's visibility and how prospective clients find and evaluate your firm online, not about accounting or tax technique. Typical topics include how to structure a bookkeeping intake page, what to show on a client industry page, how a payroll bureau or fractional CFO practice should present its engagement scope online, and how firms in your space get found in search. Every article is 2,500 to 3,200 words and researched, not filler.
Who writes the articles, and can I request topics?
Our content team writes and researches every article, and yes, you can request topics. Send a topic through your client portal and we work it into the schedule alongside the standing rotation. On Intake and Reconciliation you get 2 articles a week; on Filed it is 3 a week. Every article publishes to your site with on-page SEO already handled.
Do the articles give accounting or tax advice to readers?
No. The articles are about your firm's website and how it presents your services and service areas online, never about tax positions, accounting treatment or financial advice for readers. We are not accountants, bookkeepers or financial advisors, so nothing we publish is written as guidance on running a client's books. If a topic strays into technical accounting territory, we redirect it toward how your site communicates that service instead.
The AI Engine
What does the AI Engine actually do on my site?
It answers common visitor questions about your services, books discovery calls onto your calendar, and texts a lead back automatically when they submit your intake form or miss a call. It runs as site chat, an AI receptionist, and SMS, Messenger and Instagram messaging, all trained on your services and service areas. It never gives financial or accounting advice and never quotes a fee on your behalf; anything sensitive or specific gets handed to a person at your firm to answer.
Do I need the AI Engine tier to get an AI receptionist?
Yes, the AI Engine is part of Reconciliation and Filed, not Intake. On Intake your site still has a working intake form that routes straight to your inbox or CRM, but the automated answering, call booking and text-back only run once the AI Engine is active. Moving up a tier turns it on without a separate purchase.
What happens if a prospective client asks the AI something it should not answer?
It hands the conversation to your firm rather than guessing. The AI Engine is built to recognise anything that reads as a request for financial, accounting or tax advice, or anything involving a specific client's numbers, and routes it to a person on your team instead of answering. It sticks to what it is trained on: your services, your service areas, your pricing structure if you provide one, and booking a call.
Hosting and management
Is hosting an extra cost?
No. Hosting is included in the monthly fee and never billed separately. Your site runs on Cloudflare's global network with SSL, CDN, DDoS protection and unmetered bandwidth included. There is no hosting invoice, no SSL renewal, no bandwidth overage and no surprise line item in month four.
How secure is the hosting, and what happens if traffic spikes?
Your site sits behind Cloudflare's network, which includes SSL encryption, DDoS protection and a content delivery network by default, all part of the monthly fee with nothing itemized separately. Bandwidth is unmetered, so a spike in visitors, a shared social post, or a busy tax-season week does not trigger an overage charge or slow the site down. We manage the hosting configuration; you never need to touch a server or a control panel.
Domains
Do I have to pay for a domain?
No. One domain is included free for as long as your plan is active, registered in your name through Cloudflare Registrar or Spaceship, so you own it outright. If you already have a domain we point it at the new site instead and nothing changes for people who know your current address. If you ever leave, tell us where to send the domain and we transfer it at no charge.
What happens to my domain if I cancel?
You keep it. The domain is registered in your name, not ours, so it is yours regardless of whether your plan is active. When you cancel, tell us where to transfer it and we release it to your chosen registrar at no charge. There is no lock-in and no fee to take your domain with you when you go.
Moving from your current site
How does my current website get moved over?
Send us access to your current site, or just the content if access is not available, through your onboarding form or the client portal. We pull over your existing copy, service descriptions, client industry pages and images that are still accurate, rebuild them into the new site, and flag anything outdated for you to update as part of your included revisions. You are not left rewriting your firm's entire site from a blank page.
Will my old page URLs still work after the move?
We set up redirects from your old page addresses to their new equivalents wherever the old site is still reachable, so links already pointing at your firm from directories, referral partners or old marketing keep working. If your old site's URL structure is not available to us, tell us the pages that matter most and we prioritise those first. Nothing about the move requires you to change your domain unless you want to.
Can you keep my existing client industry pages or case studies?
Yes, if you send us the content. If your current site already has pages built around specific client industries, such as ecommerce bookkeeping or payroll bureau clients, or written case studies about engagements, we carry those over and rebuild them to match the new site's design. Anything you want changed, trimmed or reworded once it is live is handled as a normal revision.
Billing and cancellation
What do I actually pay, and when?
You pay the monthly fee for the tier you choose up front: $137, $297 plus AI usage, or $747 a month. The $797 one-time build fee is invoiced only after your site is live and you are satisfied with it. Domain and hosting are inside the monthly figure.
How do I cancel, and how much notice do you need?
Email us and say you want to cancel. Your message must reach us at least 2 business days before your next invoice date, during business hours, which are 9:00 to 17:00 Central Time, Monday to Friday. A message sent outside those hours counts from the start of the next business day, so a weekend email does not give 2 business days of notice for an invoice due Monday or Tuesday. With valid notice, no further invoice is raised and your site runs to the end of the month you have paid for. With late notice, the next invoice is charged as normal and the cancellation takes effect at the end of that month.
Do you offer refunds?
No. All sales are final, and that includes monthly fees, the build fee, extra revisions and any cost we pass through at what our providers charge us. We do not refund for a change of mind or for a month you did not use. The one exception is a duplicate or incorrect charge made by our billing: tell us within 30 days and we correct it within 10 working days. The build fee is charged only after you have approved your site, which is exactly why it is not refundable afterwards.
